Background:
Under the direct guidance and supervision of the DSR(O), the Common Services Associate will provide the overall administration and execution of varied and inter-related operational and logistical services that UNDP provides to all UN agencies under its umbrella, ensuring high quality and accuracy of work. The Common Services Associate promotes a client, quality and results-oriented approach.
 
The Common Services Associate will work in close collaboration with the Operations, Programme and projects staff in the CO and other UN agencies staff to exchange information and ensure consistent service delivery.
Description of Responsibilities:

Implementation of operational strategies
• Provision of effective and efficient administrative support services for UNDP Operations and the other UN agencies under the UNDP umbrella
• Effective administrative and financial control over UNDP services to other UN agencies
• Support to effective UN coordination
• Coordinate, manage and supervise UNDP Internship Programme
• Support to knowledge building and knowledge sharing


1. Ensures implementation of operational strategies, focusing on achievement of following results:
• Full compliance of administrative activities with UN/UNDP rules, regulations, policies and strategies
• Support to the CO administrative business processes mapping and elaboration of the internal standard operating procedures (SOPs)
• Elaboration of proposals and implementation of cost saving and reduction strategies in consultations with office management.

2. Ensures effective and efficient provision of administrative support services for UNDP Operations and the other UN agencies under the UNDP umbrella
• Coordination and tracking of UNDP services to UN agencies, such as but not limited to: Customs, Travel, HR, Procurement, Finance and Transportation requests
• Implementation of the control mechanism for administrative services , maintenance of administrative control records such as commitments and expenditures
• Presentation of thoroughly researched information for planning of financial resources for administrative services that are outside the standard list of service fees

3. Ensures effective financial control over UNDP services to other UN agencies
• Review, research, verification and reconciliation of a variety of data and reports ensuring accuracy and conformance with administrative rules and regulations
• Submission of information on administrative services provided for cost-recovery invoices
• Review of data integrity in the database, control program, analysis of results and initiation of corrective actions when necessary
• Assist in the preparation for audit and other reports

4. Support the DSR(O)  to ensure effective UN coordination within the duty station
• Coordination and follow-up of the monthly UN Administrative meeting
• Assistance with coordination of HQ mandated questionnaires upon request
• Provide additional professional support upon request
5. Coordinate, manage and supervise the UNDP Internship Programme
• Screen and track all incoming applications and insert into a roster
• Review applications for compliance with the rules and regulations of the Programme
• Identify internship opportunities within UNDP Units and Teams and communicate with relevant supervisors
• Provide DSR(O) with applications for consideration
• Provide orientation to new interns
• Monitor the internships to ensure that activities are consistent with the agreed terms of reference for the assignment
6. Support knowledge building and knowledge sharing in the CO and UN community
• Briefing/debriefing of staff members on issues relating to area of work
• Sound contributions to knowledge networks and communities of practice and sharing information and knowledge with the UN agencies where required.
7. Any other duties as required

Qualifications :
Education:
BA degree in Business or Public Administration, Social Sciences or other related field.
Experience:
Minimum of 6 years of relevant experience in administration or programme support service. Experience in the usage of computers and office software packages (MS Word, Excel, etc.). Experience in handling of web-based management systems.
Language Requirements:
Fluency in written and spoken English.  Ability to speak Arabic and/or Hebrew is considered an asset.
