Background:
The primary purpose of the Administrative Clerk position is to provide assistance to the Travel Unit to enable the Unit to perform its duties and responsibilities in a timely manner.  The incumbent will be responsible for all the clerical work of the unit listed in the functions/key results below.  The incumbent will work under the direct supervision of the Administrative Assistant/
Travel. The assistance of the incumbent will keep the Travel Unit in track of providing the best services to the UNDP/PAPP clients on a timely manner and release the pressure from the work load.
Description of Responsibilities:
Function / Expected Results
? Provide clerical assistance to the Travel Unit as follows:
A. Assist in making the Hotel bookings for UNDP/PAPP visitors.
B. Prepare the e-requisitions for the Travel Unit procurement requests
C. Register the Local Travel Authorization forms and follow it up with the concerned staff members by receiving the F10 claims and send to Finance for DSA payments.
D. Assist in the extensions of the blue UNLPs and keep copies in the e-filing system
E. Register and maintain the cost recovery for the Travel Unit services.
F. Responsible to organize all the filling at the Travel Unit and to keep the electronic filling system up to date for all the documents.
G. Answer all phone calls of the unit and take messages.
H. Update the UNDSS system in respect of UNLP numbers and expiry dates, Visas numbers and expiry dates, UNDP ID and DL card numbers and expiry dates.

Issue the approved requests for UNDP identity cards and Driving License cards to all UNDP/PAPP staff of other UN agencies under PAPP umbrella. Keep records for the issued cards and follow up on the expired ones.

Assist in the replacement at the Reception and Registry when requested.

Perform other duties as may be required by the Travel Unit Administrative Assistant.

For the high volume of workload and to the high need of daily assistance in the Travel Unit to keep on doing the tasks on a daily basis.
