Background:
UNDP/PAPP is seeking qualified candidates to apply for the vacancy of a Project Assistant for the Programme Management Team at the UNDP/PAPP Office in Jerusalem.
Description of Responsibilities:
Under the direct supervision of the Programme Analyst and the OQR Operations Manager at the Office of the Quartet Representative, the incumbent is expected to:
 
  1. Provide project administration and management support to the Operations Manager and Programming Team in their daily tasks. This will include preparing purchase orders, vouchers and vendors, preparing letters and faxes in English and Arabic, copying, filing, editing, and formatting computer documents, central record keeping, data input and UNDP/PAPP systems follow-up and processing, etc.
  2. Follow up on day-to-day requests and activities with the different UNDP departments – Finance, HR, Administration, Procurement and Senior Management, and counterparts
  3. Set up and maintain project files and establish document control procedures.
  4. Ensure the compiling, copying, and distribution of all project reports
  5. Liaise with counterparts and project staff for any requirements regarding projects (especially for arranging meetings, request documents, etc) and prepare reports in English when needed. For this reason an excellent knowledge of English (oral and writing skills), as well as computer skills (word and excel) are inalienable.
  6. Assist in project start up as required (Prepare Memorandum of Understanding, manuals, translate documents into Arabic, when able)
  7. Assist in the Monitoring of Schedules and timetables and update plans in cooperation with the project manager and request data for timely reporting.
  8. Review incoming operational and financial reports in terms of completeness and formal correctness in cooperation with the Project Manager.
  9. Maintain and update UNDP reporting schemes and matrices.
  10. Draft Project Executive Group and Project Team meeting minutes.
  11. Liaise with the counterparts administrative managers on all issues related to the project (explanation of UNDP and donor requirements, timely reporting, etc.)
  12. Assist in any other required programme support activity related to projects, especially in reporting, budgeting, budget reviews, and ATLAS generated-report issues

Qualifications :
    • Minimum Degree Requirement: Diploma in Business Administration, Financial Management, Economics, Project Management or a relevant field from a recognized university.
    • 2 years of administrative and project experience in a team environment, including strong organizational and administrative skills.
    • Experience in the usage of computers and office software packages (MS Word, Excel, etc), experience in handling of web based management systems.
    • Excellent English language skills, both written and oral.
    • Knowledge of Arabic and/or Hebrew highly desirable.
    • Work experience with an international organization and/or UN agencies is an asset.
