Background:
The United Nations Development Programme/Programme of Assistance to the Palestinian People (UNDP/PAPP) is seeking a qualified candidate for the post of Procurement Assistant in the Jerusalem office.  The Procurement Assistant promotes a client, quality and results-oriented approach in the Procurement Unit.
The Procurement Assistant works in close collaboration with the Management Support, Operations, Programme and project teams in the Country Office to successfully deliver procurement services.
Description of Responsibilities:
Under the guidance and supervision of the Procurement Specialist, the Procurement Assistant shall undertake the following duties:
  • Provision of inputs to preparation of procurement plans
  • Support to organisation throughout the procurement process, including preparation of bidding documents, receipt of quotations and tenders and participation in the evaluation
  • Preparation of purchase orders and contracts
  • Management of purchase orders including timely dispatch and corrective actions as required
  • Provision of information for preparation of cost-recovery bills in Atlas for the procurement services provided by UNDP to other agencies
  • Creation of vendor profiles in Atlas
  • Design and management of procurement filing system – paper based and electronic versions
  • Development and management of the rosters of suppliers
  • Management of procurement related databases
  • Synthesis of lessons learned and best practices in Procurement

Qualifications :
Education: Secondary Education, with some training in procurement an asset
Experience: 3 years relevant administrative experience
Previous experience in procurement an asset
Good knowledge of MS office packages
Experience of Atlas usage an asset
 
Language Requirements:
Fluency in English and Arabic. 
Knowledge of Hebrew is an asset.
